1. If you messaged or called a business that uses LeadSethu
This covers anyone who sent a WhatsApp message, filled in a lead form or called a phone line belonging to a business that uses LeadSethu.
- Send us your request.
WhatsApp DELETE MY DATA to [WhatsApp number], or email [Privacy email address] with the subject “Data deletion request”.
- Tell us the phone number you used.
Include the business name too if you know it, though it isn't required. If you write from that same WhatsApp number, that's enough.
- Confirm it's you.
If you emailed us, or wrote from a different number, we send a short code to the WhatsApp number you gave. Reply with it, so nobody can delete someone else's data. We never ask for passwords, ID documents or payment details.
- We acknowledge your request within 7 days.
We tell you which businesses using LeadSethu hold data linked to your number, and give you a reference.
- The data is deleted within 30 days.
We tell each business that holds your data and erase it. If a business needs to keep something by law, for example an invoice, we tell you what and why. When it's done, we confirm with your reference.
You can also go directly to the business you contacted. It controls your data and can delete your record from its LeadSethu account at any time.
2. If you only want a call recording deleted
If you told the phone line during the call that you didn't want to be recorded, the transcript was deleted automatically when the call ended. To have the audio recording deleted too, or a recording of a call where you didn't object, follow the steps above and say which call, giving the date and the business, if you know them.
3. If you are a LeadSethu business customer
- Deleting a single lead.
Open the lead in LeadSethu and delete it. It disappears from your account immediately and is permanently erased from our live database within 30 days.
- Deleting a staff member's account.
An admin can deactivate a user in Settings. To have their personal details erased, email [Privacy email address]. Audit-log entries keep the action but not the person's contact details.
- Closing your account and deleting everything.
Email [Privacy email address] from the account owner's address. We can send you a copy of your data first if you ask. All your data is erased within 90 days of closure, except invoices, which Indian tax law requires us to keep.
4. If you connected LeadSethu through Facebook or Meta
Businesses connect their WhatsApp Business account to LeadSethu through Meta. To remove that connection:
- Open Meta Business Settings.
Go to business.facebook.com, then Settings, then Integrations.
- Remove LeadSethu.
Under Connected apps, select LeadSethu and remove it. LeadSethu immediately loses access to your WhatsApp Business account.
- Ask us to delete what we hold.
Removing the app stops new data arriving but doesn't delete data already in LeadSethu. Email [Privacy email address] and we will erase it as described above.
5. What is deleted, and what isn't
Deleted: your name and phone number as held for that business, the messages exchanged, call transcripts and summaries, call audio recordings held by our voice provider, booking requests, notes, scores and source information.
Not deleted by us:
- Messages on your own phone, or held by WhatsApp itself. Meta controls those under its own policy, and you can delete them in WhatsApp.
- Records a business must keep by law, such as an invoice for something you bought. We will tell you if this applies.
- A minimal note that a deletion request was carried out, with your reference and the date but not your messages, so we can prove we did it.
Backups: deleted data can remain in encrypted backups until they are overwritten. Every backup is deleted within [Backup retention period, in days]. Backups are used only to recover from a failure, and if one is ever restored we re-apply your deletion.
6. After deletion
If you contact the same business again later, a new record is created, like any first enquiry. To stop a business contacting you, tell the business, or reply to its message asking it to stop.
If you aren't satisfied with how your request was handled, contact our grievance officer (see the privacy policy). You may then complain to the Data Protection Board of India.
